Getting Involved

 

Volunteering is essential to Waverley’s success.

The club relies heavily on volunteers to ensure its operation is smooth throughout the season. Parents are encouraged to support their children by volunteering their time to help spread the work load on match days, creating an enjoyable environment for players and supporters alike. Committee members and coaches are always available to assist if you want to know more about how you can help.

Junior Unit Committee

President

  • A member of the Club Executive Committee as well as running the Junior unit.

 

Hockey Victoria Co-ordinator

  • Liaises with Hockey Victoria.

 

Treasurer

  • Manages the financial affairs of the Junior unit including processing  / reconciliation of all fees and uniform payments.

 

Registrar

  • Manages all registrations for the Junior unit including the creation of Sporting Pulse for all Juniors.

 

Coaching & Umpire Co-ordinator

  • Co-ordinates the coaching & umpire teams for the Junior unit.

 

Age Group Co-ordinator

  • Co-ordinates the Age Group Leaders (who co-ordinate the team mangers)

 

Minkey Co-ordinator

  • Co-ordinates the Minkey program

 

Parent Liaison

  • Co-ordinates the Parent Liaisons (who co-ordinate volunteering such as canteen duty and team fundraising nights)

 

Communications Co-ordinator

  • Co-ordinates communication including the web site, face book page, handbook, policies etc..

 

What can parents do?

Please don’t assume that all the jobs are taken care of – more hands on deck lighten the load. Being involved has great rewards, from meeting new people, through to knowing that they you have helped to run your child’s sporting event smoothly and efficiently.

It is easy to become involved and you can be involved at the level that suits you.

Age Grouping Co-ordinators (U9, U11, U13G, U13B, U15G, U15B, U17G, U17B)

 Each Age Group / gender grouping will have an Age Group Co-ordinator.

Year level co-ordinators liaise between the Junior Unit Age Group Co-ordinator and the Team Managers / Coaches of each “grouping” to streamline communications and provide parents with an additional focal point to their Team Manager.

Key responsibilities for Year level co-ordinators:

  • Attend 2-3 Age Group Co-ordinator Committee meetings for the season (Chaired by the Age Group Co-ordinator)
  • Attend training night for own grouping as often as possible
  • Regularly liaise with Team Managers including circulation of Club information and answering questions
  • Assist Coaches during pre season in the selection of teams including collecting feedback from parents / players regarding friendship groups which may be taken into consideration.

 

Parent Liaison Co-ordinator

Co-ordinates with each of the team Parent Liaisons and supports them to run their Team Duty Night at the Waverley Hockey Club House. Support teams in running fundraising and social events.

The team duty night will consist of:

  • Setting up the club rooms
  • Ensuring the surrounding area, changerooms and dugouts are clean
  • Setup and cook BBQ for the evening. Provide salads and rolls.
  • Finalise the evening ensuring the clubrooms, surrounding area, changerooms and dugouts are clean

 

Each team will have a Team Manager and Parent Liaison for their team.

Team Manager

Assists in the organisation of the players in the team throughout the season, prior experience is not necessary. A willingness to help is all that is required. We encourage this role to be shared by two parents. Team Managers are supported by the Age Group Co-ordinator.

Key responsibilities Team Manager:

  • Assists the coach to ensure training and match days run smoothly
  • Maintain communication with parents about match day and training day details eg.. weekly email reminder of game time / location for coming week
  • Maintain the scorebook and enter scores into Hockey Victoria (sportingpulse) website
  • Collate the voting slips throughout the year for the best and fairest award
  • Ensure first aid kit is available for training and match days
  • Confirm with Umpire co-ordinator there is a team umpire for match days
  • Ensure, along with the coach, that all players and parents observe player code of conduct in their behaviour at all times.
  • For home games, provide match ball at beginning of match and collect at end of match
  • Ensure that players are all wearing correct safety gear – e.g mouth guards and shin pads
  • At end of game, Team Manager needs to get the signature of both umpires on the score sheet and ensure the correct score is recorded.

 

Parent Liaison

Each team will be responsible for running one Duty Night (Friday night or Saturday morning, when rostered to play at home) at the Waverley Hockey Club House. The Parent Liaison role will be responsible for setting up the Duty Night for their team, as well as setting up orange rosters, contact lists etc.. Prior experience is not necessary; a willingness to help is all that is required. We encourage this role to be shared by two parents. Parent Liaisons are supported by the Parent Liaison Co-ordinator.

 Key responsibilities:

  •  Attend 2-3 Parent Liaison Committee meetings for the season (Chaired by the Parent Liaison Co-ordinator)
  • Establish & circulate (where permission is given) contact details for each player / family in the team to assist with car pooling / play dates etc..
  • Setup & maintain a parent helper roster for oranges, canteen duty for home games etc
  • Co-ordinate the team duty night at the Club House (or Saturday morning for U9/11), including arranging for each parent to play a role in running the evening such as cooking the BBQ or bringing along a salad
  • Run a fundraising / social event for their team or in conjunction with other teams to raise a minimum of $300 for the club

 

Team Coach

Each team is allocated a coach from the Senior playing group or an experienced parent.

Key responsibilities Team Coach:

  • Coaches are expected to attend and run weekly training sessions
  • Coaches are expected to attend all games
  • If a coach cannot attend a training session or game it is expected that the coach will arrange a competent replacement and proactively advise the Team Manager who in turn will advise the parents / players via email (where time permits)

-      The Minkey program requires many volunteers to make it a success. The program is managed by a Minkey Co-ordinator and a Minkey Head Coach. In addition to these roles there are many opportunities for parents and club members to get involved, including:

  • Adminstration support: weekly database updates (skill levels, attendance, certificates)
  • Communication support: weekly emails to parents, promotion of program
  • Equipment support: get out and put away equipment each week
  • Coaching: weekly commitment to lead or support a lead coach

What can Juniors do?

Volunteering at Waverley is not just about getting parents and Senior players involved. We also encourage Juniors to get involved. In fact from Under 15 level onwards all Junior players are expected to assist with club in some capacity. Under 15s are expected to ball boy / girl during the season and Under 17s are expected to volunteer at Minkey throughout the season.

There is even an award each year for the Junior who has contributed the most to the club!

Umpiring:

  • A Badge /HV: $25
  • B Badge: $20
  • Unbadged: (Full field game) $15
  • Under 9: $10
  • If you are interested in umpiring let your Age Group Co-ordinator know and they will contact the Umpire co-ordinator for you.

 

Ball girl / boy:

  • Under 15s are required to ball boy/girl for State League matches (men and women) at least once per year at home games

 

Minkey program:

  • One of the great successes of the Minkey program is the Juniors who come along to help out, a few times a season or in some cases every week.
  • In previous years Junior players have helped at Minkey learning how to coach and also learning a lot about leading a small group, some have even ended up as Lead Coach for their Minkey group (with adult support).
  • Regular assistance at the Minkey program can be used for the Duke of Edinburgh program and over the years several Minkey Junior coaches have also used their experience as a reference for job interviews and school applications.
